Opening and Closing Duties
Opening Duties
I. Change into Uniform (light/dark blue shirt, skirt/pants, nametag)
II. Turn Computer On (if it hasn’t already been done)
a. Log in
b. Open tour schedule (ur.byu.edu, click “Administration” at bottom of page, Log in using CAS, Add/Update
Campus Tours)
c. Watch for Transports
i. once you’ve looked at the schedule, make note of any transports for the day and remind the
guides of when they need to leave for it
ii. about 10 minutes before the tour guide is to leave for the transport remind them again
III. Check Messages
a. Return phone calls
b. Take down any messages for full-time staff
IV. Check the Mail (row 2, box on left side, #3)
a. Hand out to full-time staff
V. Unplug all carts
VI. Turn on lamps
VII. Other
a. Ask FT staff if you can help with any projects that day
b. Make sure maps, handouts, and magazines are out and stacked neatly on the desk/coffee table
c. Check sitting area for trash and overall cleanliness
d. See if all cart keys are accounted for, if not ask everyone if they may have the missing key
e. Double check that tour guide opening responsibilities have been completed
Closing Duties
I. Forward Phone
II. Confirm that all carts are accounted for and plugged in
III. Shut Computer Off
a. After everything has been saved turn front desk computer off
b. Double check that all other student computers have been turned off
IV. Clean and straighten front desk. Turn off lamps.
V. If necessary, clean and straighten work room. Lock workroom door.
VI. Check that tour guide closing responsibilities have been completed
VII. Make sure all doors to full-time staff and workroom are closed and locked.
VIII. See if all cart keys are accounted for, if not leave a message for morning receptionist to ask around
IX. Leave a note of other important info for the morning receptionist out on the desk
Receptionist Switch
Remind the Next Receptionist of:
• any additional transports or tours not already on the schedule
• messages that need to be called back, messages for full-time staff that haven’t yet been given to them
• who will be out for the rest of the day, who is on lunch, or at a meeting
• which cart is out with a full-time staff, or being used for something not on the schedule
• anything else that is needs to be addressed for that day
